Ask your data

Figures such as sales, orders or stock levels do not live in documents: they live in your company's systems. When your workspace connects them, Genie can look them up for you in Databases (for example Contoso's ERP) and in Power BI. You ask in plain words; Genie writes the query, runs it with your access rights, and shows you both the numbers and the query it used.

Ask a question about figures

  1. Start a new chat (Genie in Automatic mode looks up data by itself), or choose an agent made for data, such as a data analyst agent.
  2. Ask your question with the details that matter: what, where and when. For example:
    • "What were total sales per branch in September?"
    • "Which ten customers in Da Nang ordered the most frozen seafood this quarter?"
    • "Compare monthly sales in Hanoi with the monthly target for this year."
  3. Read the answer. Genie explains the result, usually with a table.

The note at the top of the answer says where Genie looked, for example Looked up data in Contoso ERP, or Looked up documents and data in Contoso ERP when it also used a policy document.

See the query and the numbers

While Genie works, a step shows Looking up data in followed by the source name, then Looked up data in… when it is done. Click the step to unfold it:

  • the query Genie ran (SQL for a database, DAX for Power BI), with a Copy button;
  • the result table;
  • the number of rows (Rows:) and how long the query took;
  • Row-level restriction applied for you on: followed by table names, when the data was limited to the rows you may see.

Check the figures

Genie turns your question into a query, and that translation can be wrong: a different period, a missing filter, a wrong total. For figures that matter:

  1. Unfold the step and look at the query and the result table.
  2. Check that the period, the branch and the measure are what you meant.
  3. If something is off, say so in a follow-up: "Use the order date, not the delivery date" or "Only count completed orders."
  4. Ask someone who knows the data, or your admin, if the numbers still look wrong.

Genie never invents figures: if no source holds the number, it says so and tells you which sources it checked.

Get a chart

Ask for it: "Show this as a bar chart", or "Draw monthly sales per branch for this year as a line chart". Depending on how your workspace is set up, Genie draws the chart in the answer (with a Chart header and a Copy code button), or creates it as an image or file in the sandbox, which you can preview and download.

Get the data in Excel

There is no export button on the result table. Instead:

  • Ask Genie for a file: "Put this table in an Excel file." When your workspace has a sandbox, Genie creates the file and shows it as a card in the answer; click it to preview, then download it. See Files and artifacts.
  • Copy the table: click Copy under the answer and paste it where you need it.

Data you are not allowed to see

Data access is decided by your company, source by source:

  • Who may query a source. Your workspace admin decides who may query each database or Power BI source through Genie: only administrators (the default for a new source), everyone, chosen people, groups, roles or departments, or only the agents an administrator connected it to. If you are not on the list, Genie simply does not use that source for you; it answers from the other sources, or says it could not find the figure.
  • Which tables and columns. Genie only sees the tables and columns your admin opened to it. Salaries or personal details, for example, can stay out of reach entirely.
  • Which rows. A table can be limited to your rows, for example the sales of your own branch or your own customers. Two people asking the same question can then get different totals. The answer says Row-level restriction applied for you on: when this happens.
  • Missing profile details. If a table is limited by a detail of your profile, such as your branch, and that detail is not filled in for you, the query is refused with a message asking you to contact a workspace admin. The admin can add the detail to your profile.

If you need data you cannot see, ask your workspace admin.

Good to know

  • Read-only. Genie can only read data. It cannot change an order, a price or a stock level.
  • Every query is recorded. The workspace audit log records each query Genie ran, for whom and on which source, but not the rows it read. See Privacy.
  • Not in every channel. Data lookups work in the Genie web app for signed-in members. In Microsoft Teams, Zalo or a website widget, Genie does not query Databases or Power BI.
  • The results reach the AI model. The rows a query returns are sent to the AI model that writes the answer, like the passages from documents.
  • Big results are shortened. A query returns a limited number of rows (shown as truncated at…). Ask for totals or a top ten rather than every line.
